JLab types

Not all JLab types are allowed to have an account at Jefferson Lab. For the latest list of which JLab types are eligible for accounts, review the following link:

Accounts for users are subject to an account expiration date, beyond which a new registration must be filled out in order to maintain account access.

Account creation (status ACTIVE)

Most accounts are created when a person establishes a relationship with Jefferson Lab. In the case of employees, this happens automatically when a person is hired. In the case of all other JLab types (Users, Contractors, etc), the user requests an account during the registration process. The sponsor must sign off on the account, and then the Help Desk creates the account.

Account disabled (status DISABLED)

The most common reasons for an account to be disabled are for training or for a password not being changed. In order for an account to remain in good standing, the individual must keep CST001 training up-to-date and must change their password every 6 months. If either of these criteria are not met, the account is disabled automatically. In the case of expired training, the user can re-activate by taking the training. If the account is disabled due to an expired password, the user must contact the Help Desk to have the password reset.

Status PENDING RETIRE

When the Lab no longer has a relationship with the individual (for example, when an employee terminates from the Lab), then the account will go into a "PENDING RETIRE" status for six months (after a two-week delay*). If an account does not have an account expiration date, such as in the case for employees, the expiration date will be set to the date the account was put in "PENDING RETIRE" status. (For staff, this is the last day of employment.) Once the account is in "PENDING RETIRE" status, the account can be re-activated if the sponsor submits a request to the helpdesk, once the JList record reflects the current visit information.

Account Retirement

After an account is six months past its account expiration date, that account will be permanently retired. Accounts in this status cannot be re-activated. A user who returns after the account is retired will need to get a new account. In some cases, the data can be recovered from backup and copied into the new account.

 

Notes

* Accounts are placed into a disabled state for two weeks following the account expiration date. This is to give a short window during which the user can work with their host and/or the FSO office to have their account re-enabled by submitting a new registration form, before the account is set to PENDING RETIRE.
